Sponsorship Coordinator

Purpose:  Act as support to the Director of Corporate and Community Partnerships. Find success in seasonal, high paced, deadline oriented special event environment leading up to the Alaska State Fair.

Reports to:  Director of Corporate and Community Partnerships

Supervises:  Minimal. VIP tent staff in the absence of the Director of Corporate and Community Partnerships.

Job Type:  Part-time

Minimum Qualifications:

  • Excellent interpersonal and verbal communication skills.
  • Proficient in Microsoft Office Suite.
  • Must be able to walk and stand for long periods of time.
  • Must be able to lift or carry supplies (10-50 lbs.).
  • Outgoing, friendly, and professional personality.
  • Excellent written and oral communication skills.
  • Ability to organize projects and prioritize tasks.
  • Effectively manage multiple projects concurrently.
  • Must be creative, calm, and personable under pressure.
  • Prior sales and client management experience preferred but not necessary.
  • Able to work occasional weekends and full-time from June 15 to September 15.
  • Must be at least 21 years of age.

Areas of responsibility include but are not limited to:

  • Perform standard office duties: research, writing, editing, and data entry.
  • Support sponsor relations and activation, sales, and event support.
  • Support the sponsorship process, including updates to proposals and agreements.
  • Assist in creating sponsor invoices and ensure thorough updates and maintenance of internal databases.
  • Compile supporting documentation and anecdotal feedback for preparation of client post-event fulfilment reports.
  • Maintain positive relationships with sponsors, vendors and partners.
  • Update revenue and expense worksheets, and invoice reports.
  • Provide support at three major sponsorship events including the Alaska State Fair, Boofest and Bright Up the Night.
  • Provide support for the setup/take down and management of the VIP hospitality lounge.
  • Assist with the renewal process of returning sponsors, including face-to-face meetings, phone calls and e-mail communications.
  • Ensure sponsorship files are up-to-date and organized.
  • Assist in assigning tasks to seasonal members of the sponsor relations team.
  • Work to support other functions of the organization as requested.
  • Adhere to Alaska State Fair Board policies developed by the Board of Directors.
  • Perform other duties and special projects as assigned
